External charities

Hello Friends and colleagues, We would be interested to know if your Meetings donate to external charities, in which case how that is done. At Winchester we have in the past collected donations, on a regular basis, to pass on to chosen charities - cash, cheques or BACS. This created a lot of admin for the Treasurer, and now we have the added problem that our local bank (HSBS acting on behalf of CAF Bank) no longer accepts cash. What we are doing currently is invite Friends to donate to chosen charities, but not through our bank account, i.e. straight into the other charity's bank account. We do not know how many people do that, we have no idea how much money goes to the charities, and we don't know if the charities are aware that those donations are connected to our Meeting. We have recently bought a fund-raising card-reader, which can allow for donations to be earmarked for specific purposes, but we are not using it for external charities. If any of your Meetings passes donations on to external charities, it would be great to hear about your process for that, and if it works well. Dear Friends, Some HSBC branches closed their cash counters some time ago and now only accept cheques with a paying in slip for CAF bank. CAF now say: https://www.cafonline.org/docs/default-source/charity-finance-and-fundraisi… 'Receiving money You can receive money into your CAF Cash Account by online or electronic transfer, or by cash or cheque at any counter-service HSBC Branch in the UK if your sort code begins with 40, or at any counter-service RBS Branch in the UK if your sort code begins with 83. You can also pay in at any Post Office in the UK' CAF Bank can send new cash paying in books to use at the Post Office. which are bar-coded (and apparently can be used to pay cash in at HSBC as well at branches that still accept cash). CAF Bank can also send envelopes so that cheques can be paid in at the Post Office. Thanks everyone for all of your excellent advice on this. Just one thing to add from my perspective is that all employees are employed at AM level. You need to work with trustees on employment to ensure that employees doing similar work are treated the same and paid equally (that can be done within a pay scale to recognise experience etc.) The same contracts should be in place across the AM and if roles are the same the same job descriptions should also be in use. Hi Norma, I manage payroll for a few Quaker (and other) clients and how they do this varies! Some have employees with a volunteer calculating the accounts using a variety of options (including ringing the HMRC helpline every month to confirm their figures), some have their accountants or bookkeepers providing payroll, some have employees with a separate payroll company providing payroll calculations (PAYE, NI, HMRC, Pension management), some use their charity accounts packages to calculate the payroll (Liberty Accounts is one that does this). The actual setting up of payments for salary and HMRC can be dealt with by the above or a different person such as the treasurer. What you decide to do will very much depend on how many employees, and what resources are available within the AM. However, going back to your original question regarding whether the self-employed lettings manager's replacement needs to be employed. Well that depends... If they are offering the same service to other clients, working from home, using their own equipment and have the right of substitution, then it isn't likely. If they are only in the one building, using your equipment and not working for anyone else than yes they probably do need to be employed. On the HMRC website there is a handy 'check employment status for tax' <https://www.gov.uk/guidance/check-employment-status-for-tax> tool. Some Area Meetings/Charities have an employee based in one place manage the room hire businesses and management of several buildings. Others have contracted the management out to a property management company who also offer facilities management and maintenance. So it might be worth seeing if anyone else in Pendle Hill AM also needs such services! Hope that helps! Dear Norma, Our AM employs bookkeepers (hi Wendrie) but for some reason they don't do the payroll so one of the trustees has to do it in the HMRC Basic Tool which is HMRC software from last century. A disproportionate effort and learning curve for the very few employees AM has to manage. Not recommended! If there is already a paid-for bookkeeper/accountant, ask them to do it. That would be the easy way and shouldn't cost much at all. In my other work I use Quickbooks and Liberty Accounts and I have used Xero for a little while. All are bookkeeping packages which do a lot more than payroll but unless you are already using software, I'm not sure it's worth it just for employing one person. Hi Norma We employ wardens at two of our meeting houses to manage the room hire. They are employed by our Area Meeting who is responsible for contracts, pay etc. Until recently we did our own payroll using the basic HMRC software PAYROLL TOOLS which is free and will calculate all the tax and any possible NI for you. But you will have to manage the payroll info including calculating hours, pension etc via spreadsheet separately. However we have recently outsourced our payroll to another provider, CBR solutions based in Norfolk at a modest monthly cost. We also have just started using the same provider for HR advice, eg checking our employers contracts are up to date etc, we are ok with current legislation etc. as we feel a bit vulnerable to the possibility of getting things wrong inadvertently. We do our pension scheme with the People's Pension, which I think was one recommended by Friends House at the time and they have been excellent to deal with. There is a lot to consider as I am sure you know and it helps to get some professional advice if you can.
